The following is an example of how we would like to send a meeting invitation. The main goal is to have clear objectives and avoid wasting time.

Meeting goals

  • Validate project status
  • Find and resolve blockers

Before the meeting

  • Validate that the status of the tickets is correct: PROJECT_TICKETS_URL

Meeting agenda

  • Report of hours used to date
  • Explain current progress
  • Find solutions for blockers
  • Next steps

Before the meeting

  • Confirm that all items outlined in the invitation email have been reviewed.
  • If additional topics are to be introduced, gather all relevant information in advance in order to present them clearly and avoid vague exploratory discussions.

During the meeting

  • Follow to the defined agenda as closely as possible.
  • As a default practice, take notes live, preferably using screen sharing.
  • Each meeting will include time to raise unplanned topics; these will be documented but not discussed in depth during the meeting.

After the meeting

  • Share the meeting notes via the client portal and/or by email.
  • Provide clarity or follow-up on timelines that could not be agreed upon during the meeting.
